Store Manager & Events Coordinator
FULL-TIME

As Store Manager & Events Coordinator at the Adventurers' Academy, you'll have a hand in just about everything that keeps our store and community running! You'll lead our staff, keep day-to-day operations on track, and make sure the little things don't fall through the cracks, all while planning the events that bring our gaming community together. We're looking for someone who's organized, proactive, and comfortable taking the lead, whether that means solving a problem on the sales floor, helping an employee succeed, or figuring out the logistics for our next big event. If you like making things run well (and making them better), we'd love to hear from you!

ABOUT THE JOB

Here's a summary of the day-to-day responsibilities:

Store Manager

  • Oversee the day-to-day operation of the store and make sure it is clean, organized, stocked, maintained, and running to a high standard.
  • Manage the staff: set priorities, delegate and follow up on work, arrange coverage, run check-ins and staff meetings, train employees, provide feedback, and address performance issues.
  • Support and supervise staff in their individual areas of responsibility, helping them plan, work through problems, and coordinate projects that involve multiple staff or areas of the business.
  • Maintain strong customer service and community standards, including resolving customer problems and addressing behavioral/community issues that require intervention.
  • Monitor the overall health of the store, including needed repairs and upkeep, organization, inventory accuracy, sales and event performance, and any emerging or recurring problems.
  • Make sure store procedures, documentation, and internal communication are clear, current, and working effectively.
  • Check and replenish routine store supplies before they run out.
  • Reconcile weekly cash transactions and prepare the bank deposit.
  • Handle normal management decisions independently while keeping the owner informed about significant problems, risks, or situations that may become larger issues.
  • Continually look for ways to improve the store, its systems, and how staff use their time.

Events Coordinator

  • Manage the store’s event program, including organized play, recurring/special events, and the development of new events.
  • Plan event logistics like pricing, prizing, space, staffing, and resources.
  • Coordinate with DMs, judges, contractors, and community partners.
  • Administer publisher organized play programs and ensure the store remains compliant with program requirements.
  • Make sure events are planned, documented, and scheduled in time to prepare and promote them.
  • Work with other staff on marketing, staffing, and other operational needs.
  • Review event attendance and feedback and find ways to continually improve the event program.

This position is typically scheduled for about 35 hours per week, spread across three and a half days, including one weekend day. Because the Store Manager is responsible for making sure the store is covered, some flexibility is needed to occasionally adjust your schedule or work additional hours when another employee is out.

ABOUT YOU

This is who we're looking for:

  • Previous management or supervisory experience, with experience leading a team and holding people accountable.
  • Strong organizational and time-management skills, with the ability to juggle day-to-day priorities, projects, and deadlines.
  • A proactive mindset, noticing what needs to be done and taking the initiative to make it happen.
  • Good judgment and problem-solving skills, including knowing when to make a decision yourself and when to ask for help.
  • Strong communication skills and the confidence to give direction, provide feedback, and handle difficult conversations.
  • A friendly, customer-focused approach and a commitment to creating a welcoming environment for everyone.
  • Experience planning or coordinating events, projects, or other activities with lots of moving pieces.
  • Comfortable learning new systems, processes, and technology, and willing to learn enough about tabletop gaming to confidently talk with customers and support our events.

You don't need to be an expert in every game on our shelves! Tabletop gaming experience is a plus, but strong management skills, good judgment, and a willingness to learn are much more important.

Inventory Specialist & Retail Sales Associate
FULL-TIME

As an Inventory Specialist & Retail Sales Associate at the Adventurers' Academy, you'll split your time between helping keep our store running and making sure the products behind it all stay organized and on track! Along with the normal day-to-day work of a retail associate, you'll take the lead on maintaining our inventory records, entering purchase order information, tracking preorders and special orders, and keeping product information accurate in our systems. We're looking for someone who's organized, detail-oriented, and comfortable working with spreadsheets and data, but who's also happy to jump onto the sales floor, help customers, stock shelves, or tackle whatever else the store needs that day. If you enjoy detail-oriented work but also like helping customers in a busy retail environment, we'd love to hear from you!

ABOUT THE JOB

Here's a summary of the day-to-day responsibilities:

Inventory Specialist

  • Create purchase order records and accurate product listings for incoming merchandise.
  • Review preorder and special-order records and identify shortages, allocation concerns, or other exceptions early.
  • Monitor incoming/open orders and flag receiving or shipment issues.
  • Resolve issues with missing or damaged items in incoming shipments and request reimbursement or corrections from distributors as needed.
  • Maintain accurate documentation for inventory processes.

Retail Sales Associate

  • Provide friendly, proactive customer service and handle point-of-sale transactions.
  • Receive, stock, organize, and keep merchandise tidy and presentable.
  • Handle opening/closing, card buying, cleaning, order fulfillment, and other routine store tasks.
  • Help run store events as needed.
  • Complete assigned projects and productive downtime work.
  • Pay attention to what is happening in the store and appropriately handle or escalate customer, community, facility, or operational issues.

This position is typically scheduled for about 35 hours per week, spread across three and a half days, including one weekend day. Some weeks will involve lots of incoming inventory and behind-the-scenes work, while others will be more focused on the day-to-day work of the retail store.

ABOUT YOU

This is who we're looking for:

  • Strong organizational skills, accuracy, and attention to detail, especially when working with lots of small pieces of information.
  • Comfortable working with spreadsheets, databases, and other computer systems.
  • Good problem-solving skills, with the ability to notice when something doesn't look right and investigate why.
  • Dependable and able to keep track of ongoing tasks, deadlines, and follow-ups, even when priorities shift from day to day.
  • A friendly, customer-focused approach and a commitment to creating a welcoming environment for everyone.
  • Willing to pitch in with all aspects of running a retail store, including customer service, stocking, cleaning, and other day-to-day tasks.
  • Interest in tabletop gaming, or a willingness to learn enough about our products to confidently help customers and work with our inventory.

Previous retail, inventory, or data-entry experience is a plus, but isn't required. We're more interested in finding someone who's organized, accurate, comfortable learning new systems, and genuinely enjoys detail-oriented work.
